5 Things to Verify Before You Hire an Accounting Service for Your Business
This is not a credentials checklist. Licenses and reviews matter, but they don't separate the providers who deliver month after month from the providers who disappear after onboarding. These five things do — and each one is verifiable before you sign anything.
→ 1. Fixed-fee scope vs. hourly billing
Ask how the work is priced, and ask for it in writing. There are two models, and they produce two very different relationships.
Hourly billing means the provider's revenue grows when the work takes longer. It also means you'll hesitate to call with questions, because every conversation is billable. Ask any provider quoting hourly: "What's the ceiling?" If there isn't one, all the risk is yours.
Fixed-fee, scoped work means you both agree — in writing, before work begins — on what will be delivered, by when, and for what price. If the provider misjudged the effort, that's their problem, not your invoice.
What to ask: "Can you send me a written scope with a fixed price before we start?" A confident provider says yes without hesitation.
→ 2. Who does the actual work
At many firms, the person who sells you the engagement is not the person who touches your books. The partner runs the sales call; a junior staffer you've never met does the work; the partner reviews it quarterly if you're lucky.
That model isn't inherently wrong, but you deserve to know which model you're buying. What to ask: "Who, specifically, will be doing my monthly work — and will I be able to talk to them?" If the answer is vague, the answer is "someone you haven't met."
→ 3. Can they explain the upstream process — not just the number on the report
Any provider can hand you a P&L. The valuable one can explain where the numbers come from: which system produced them, what process feeds that system, and where errors enter. This is the difference between a provider who reports on your business and one who understands it.
What to ask: "If a number on my report looks wrong, walk me through how you'd figure out why." Listen for an answer that traces the number back through the process — not one that just re-runs the report.
→ 4. What happens at month-end: a defined deliverable, or "we'll get to it"
The monthly close is where accounting services succeed or quietly fail. A strong provider treats the close as a defined deliverable: reconciliations complete, statements delivered, variances flagged, by an agreed date every month. A weak one treats it as a rolling backlog — the books get closed "when we get to them," and you find out your March numbers are final sometime in May.
What to ask: "What exactly do I receive at month-end, and on what date?" You want a specific list and a specific day. "It depends on the month" is a red flag.
→ 5. Documentation — do they leave your operation in better shape, or create dependency on them
This one is almost never on checklists, and it's the one that matters most when the relationship ends — and every relationship eventually ends, whether by growth, sale, or a hire.
A provider who documents your processes — how the close runs, how the reports are built, where the data lives — leaves you owning your own finance function. A provider who keeps everything in their head, their templates, and their systems has built a dependency, and dependency is leverage at renewal time.
What to ask: "If we parted ways in a year, what would I be left holding?" The right answer is: your books, your processes, and written documentation of how everything works.
